At a glance
- Start with the retreat’s purpose and your team’s departure point. Choose a region within around two hours’ travel.
- Ask about capacity in the layout you need. A hall for 450 in theatre layout seats around 300 at tables.
- A hotel with a meeting room offers accommodation under one roof. An exclusive event venue gives you private use of the hall, stage and grounds. Choose according to your priorities.
- For 400 people, allow around 200 rooms and 8 coaches. In our example, venue hire is only around 6% of the budget.
- Attendance at a team event open to all employees is not taxable employee income, so no Polish income tax or social security contributions apply.
Start with the purpose, then choose the place
The most common mistake is searching for an attractive location before deciding why you are going. The same venue might be perfect for rewarding a sales team and unsuitable for year-end presentations to 300 people. Before comparing proposals, establish what should happen, how many people are going and where they are travelling from.
| Objective | Format | What the venue needs |
|---|---|---|
| Year-end review, awards and strategy | 1 or 2 days with business sessions | One room for everyone, stage, large screen and good sound |
| Bringing teams together after a merger or rapid growth | 2 days with team activities | Space for rotations, breakout rooms and an evening at tables |
| Rewarding the team | 2-day premium programme | A gala with entertainment, a standout activity and higher-standard hotel |
| Conference with team building | 2 days: business sessions and an evening event | Main hall, parallel-session rooms and an on-site technician |
| Family picnic | 1 outdoor day | Green space, playground and indoor backup for rain |
Where should you go? Match the region to your team
There is no single best retreat venue in Poland. The best choice for your team depends above all on travel time. Our working rule: if the journey exceeds around two hours, the first day’s programme effectively starts after lunch.
| Region | Closest for companies from | Advantages | Things to consider |
|---|---|---|---|
| Beskids (Ustroń, Wisła, Szczyrk) | Silesia, Bielsko-Biała, Kraków and Ostrava | Mountains around an hour from the Silesian cities; Czantoria cable car | Tourist traffic during peak ski season |
| Tatras and Podhale | Lesser Poland | A well-known destination with mountain atmosphere | Heavy seasonal tourist traffic and congestion |
| Masuria | Warsaw and north-eastern Poland | Lakes and summer sailing | Highly seasonal, with fewer outdoor options outside summer |
| Karkonosze and Sudetes | Lower Silesia | Mountains and extensive hotel choice | Far from central and eastern Poland |
| Around major cities | The nearby city | Short journey and easy same-day return | Less sense of getting away |
If your team is based in Silesia, Bielsko-Biała or Kraków, read our guide to a company retreat in the mountains. It includes detailed travel times to Ustroń and a two-day programme.
Capacity: how many guests really fit?
‘Seats up to 450’ is one of the most misleading phrases in venue proposals. It usually means the maximum theatre layout, with rows of chairs. When guests sit at dinner tables, the same hall accommodates significantly fewer people.
Using our Diament Hall (560 m²) as an example:
| Layout | Purpose | Guest numbers | m² per person |
|---|---|---|---|
| Theatre | Presentations and awards ceremonies | 450 | around 1.2 |
| Long dining tables | An informal dinner | 350 | around 1.6 |
| Banquet (round tables) | Gala dinner with table service | 300 | around 1.9 |
Calculated using the hall’s total area, including stage and walkways.
The capacity trap. Planning morning presentations and evening dinner for 400? In a hall seating 300 at tables, dinner must be reception-style or use two spaces. Ask about both layouts before signing.

Count space beyond the main hall too. Large groups need registration, coffee breaks and breakout areas. At Konfero, these are the foyer, Gold Café (140 m², 120 seats and a mountain-view balcony) and the lounge (157 m²).
Hotel meeting room or exclusive event venue?
This is the most important decision in the process. Both options have strengths and deserve a fair comparison.
| Hotel with meeting room | Exclusive event venue | |
|---|---|---|
| Accommodation | Under the same roof, without transfers | At partner hotels, with transfers |
| Other guests | Usually present: shared reception, restaurant and corridors | None: the whole venue belongs to one company |
| One room for everyone | Often partitioned rooms with low ceilings | Purpose-built event hall, stage and large screen |
| Evening and music | Restrictions because of other guests | Freedom within agreed hours |
| Activity grounds | Depends on the hotel | Usually dedicated event grounds |
| Best for | Groups prioritising accommodation convenience | Groups wanting private space and a large hall |
In practice, few hotels can accommodate 300–400 people and also offer a room where everyone can sit together. Many companies choose a combined model: daytime activities and gala at an event venue, accommodation at nearby hotels. That is how Konfero works.

Logistics for 100–400 people: rooms, coaches and parking
Large-group logistics is arithmetic. Work through the numbers before approaching venues, and you will quickly see which offers are feasible.
| Participants | Rooms (2 guests) | Coaches (around 50 seats) | Parking spaces if everyone drives (3 people/car) |
|---|---|---|---|
| 100 | around 50 | 2 | around 35 |
| 200 | around 100 | 4 | around 70 |
| 300 | around 150 | 6 | around 100 |
| 400 | around 200 | 8 | around 135 |
A typical coach seats 49–57. Konfero has parking for 110 cars, so we recommend coaches for groups above around 300.
- Rooms across several hotels are normal for groups above 300. Agree who coordinates room allocation and coach lists.
- Evening transfers should run in two waves: some guests want to return earlier.
- One venue contact on event day saves dozens of phone calls.
A weather backup plan
Polish weather can be unpredictable, especially in spring and autumn. A backup plan means knowing exactly where each activity will take place if it rains.
- Is there an indoor space for the whole group together, without splitting across rooms?
- Do outdoor activities have prepared indoor versions, rather than simply moving into a room?
- Who decides to switch plans, and by what time?
- In hot weather, is the room air-conditioned, and are shade and water available between stations?
Technology and stage: questions that prevent problems
Every team retreat has a moment when the director steps on stage and 300 people look at the screen. That is no time to search for a laptop adapter.
| Ask the venue | Why it matters | At Konfero |
|---|---|---|
| How large is the screen, and is it permanent? | A projector in a bright room is usually insufficient for 300 people | Permanent 4×8 m LED screen |
| What stage is available, and does it have backstage space? | Awards, performances and speaker preparation | 12.5×4.5 m stage with backstage facilities |
| Is a technician present all day? | Microphones, presentations and music between sessions | A technician is included in ready-made programmes |
| Is the hall air-conditioned? | Temperatures rise quickly with 300 people | Yes, throughout the building |
| Does the venue have a technical rider? | Your production team needs power specifications and dimensions | Yes, with AV, stage and power specifications |
What a team retreat costs and how the price is built
Retreat costs depend on group size, duration, hotel standard and evening format, so online price ranges vary widely. Understanding the breakdown is more useful than a single headline figure.
Here is the cost structure for Konfero’s two-day Standard programme for 400 people, Monday–Thursday, with a 3-star hotel:
| Item | Share of cost |
|---|---|
| Accommodation and transfers at a 3-star partner hotel | 48% |
| Meals (coffee, lunches and gala dinner) | 28% |
| Programme and activities (facilitators and equipment) | 15% |
| Exclusive venue hire for 2 days | 6% |
| Technical facilities and staff | 3% |
Based on Konfero’s October 2026 price list. Rounded shares may not total 100%.
A conclusion that surprises many organisers: venue hire is only around 6% of the budget. Accommodation and meals are the largest items. Saving on the hall, where the entire programme happens, rarely pays off.
Starting prices apply to 400 people, Monday–Thursday. Smaller groups pay more per person.
Tax, social security and employee benefits funds
Every HR department eventually asks this. Here is a brief overview of the legal position, with source links.
Do employees pay tax on team event participation?
Not if the event is available to all employees on equal terms. In its judgment of 8 July 2014 (K 7/13), Poland’s Constitutional Tribunal stated that a benefit is employee income only if it is accepted voluntarily, serves the employee’s interests and provides a measurable individual gain. Participation in a whole-team event cannot be assigned as an individual benefit. Without income, neither Polish income tax nor social security contributions arise. The same position appears on the government portal rodzinaipraca.gov.pl.
Can a company deduct a team retreat as a business expense?
Generally yes, when the event is for employees and aims to improve teamwork, atmosphere and motivation. Where business partners attend, expenditure may instead be classed as hospitality, which is not tax-deductible. Interpretations of alcohol expenditure can differ.
Can Poland’s employee benefits fund finance a retreat?
Partly. The fund can finance recreational, sporting, cultural or educational events if its rules allow. The Supreme Court’s judgment of 23 October 2008 (II PK 74/08) stated that social criteria apply to preferential benefits, while fund rules may allow events open to everyone on equal terms. A typical event centred on food and drink, such as a banquet, usually falls outside the fund’s purposes.

What happens on a team retreat?
A successful large-group retreat usually has four elements arranged around the day:
- Business sessions – review, strategy and awards. Best in the morning, when everyone is fresh.
- Team activities – station rotations, outdoor games and challenges. Mix departments so people meet beyond their usual teams.
- Evening – dinner, results and music. Often the most memorable part.
- Breathing space – free time between sessions. Even the best programme becomes tiring without it.

Frequently asked questions
What is a team retreat?
A company event away from the workplace that builds team relationships. It usually combines business sessions, shared activities and dinner over one or several days.
Where should we take our company team?
Choose somewhere within around two hours of most participants, with one room for the whole group. The Beskids suit teams from Silesia, Bielsko-Biała and Kraków; Warsaw-based teams may prefer the capital’s surroundings or Masuria.
How much does a team retreat cost?
It depends on group size, duration, accommodation and evening format. At Konfero, one-day programmes start at PLN 132 net per person, two-day programmes at PLN 288 net, plus accommodation from PLN 265. Starting prices apply to 400 people, Monday–Thursday.
Is attending a team event taxable?
If the event is available to all employees on equal terms, attendance is not employee income (Constitutional Tribunal judgment of 8 July 2014, K 7/13). No Polish income tax or social security contributions therefore apply.
How early should we plan for 100–400 people?
Preferably several months ahead. A large group needs a venue, room allocations across hotels and coaches, and peak-season dates book fastest. Monday–Thursday dates are easier to find.
Hotel or event venue: which is better for team building?
A hotel offers the convenience of accommodation under one roof. An exclusive event venue offers one large hall, a stage, greater evening flexibility and no other guests. For 300–400 people, a combined model often works best: programme at the venue, accommodation at several hotels.
