At a glance
- Registration is the guest’s first contact with the event. At the fair, it took place in the foyer with support from Husaria Polska.
- Parking: Konfero has 110 spaces. At a large event, someone must direct traffic so guests are guided to a space.
- Cleaning continues throughout the day, not just before opening. Husaria Polska handled it at the fair.
- The principle: the people who maintain the venue every week know it best on event day.
Why operations shape the guest experience
Organisers describe the programme, speakers and catering in invitations. Guests also remember what is not mentioned: queues, parking difficulties and crowded toilets during breaks. These details are less glamorous, but failures can undermine a well-planned programme.
Every Konfero event has exclusive venue use. The whole building serves one group, but that also means operations must be ready before the first guest and continue until the last leaves.
Example: Cieszyn Silesia Attractions Fair
On 24 September 2026, Konfero hosted the first Cieszyn Silesia Attractions Fair: a B2B fair for the events, hospitality and MICE industries, with talks, panels and exhibition stands. Admission was free after registration. The day started with registration and a welcome in the foyer, followed by the opening on the Diament Hall stage.
On such a day, operations have three tasks: welcome guests efficiently, help them park and keep the venue clean from registration to the last conversation. We were supported in all three by Husaria Polska: registration, cleaning and parking operations. Thank you for making the event much easier to run. These services are described on the event support page.
Registration: the guest’s first few minutes
Registration is the one moment when all guests arrive in the same place at the same time. Queues here delay the opening and put the whole day behind schedule.
- Prepare the guest list in advance and divide it alphabetically or by groups, allowing several staff to check guests in simultaneously.
- Use the foyer, away from the hall entrance. This keeps queues from blocking doors or cloakroom access.
- A staff member for unusual cases (missing names, name changes or extra guests), keeping the main queue moving.
- Clear signs and concise directions to the hall, café and toilets.
Parking: guide guests before they start searching
Konfero has 110 parking spaces. For an event of several hundred people, that works well when traffic is directed. Without guidance, early arrivals fill the entrance area while others circle the grounds.
- A steward at the entrance to direct arrivals and keep spaces near the door available for guests who need easier access.
- Separate coach and delivery areas to avoid obstructing guest traffic.
- An end-of-day plan: directing simultaneous departures matters as much as managing morning arrivals.
Keeping the venue clean all day
Cleaning before an event is standard. What makes the difference is cleaning during the event: emptying foyer bins, keeping toilets clean, clearing Gold Café tables after coffee breaks and cleaning wet entrances. Guests rarely notice cleanliness until it is missing.
At the Attractions Fair, Husaria Polska handled cleaning alongside registration and parking, allowing our team to focus on exhibitors, speakers and the programme.
The same team every week and on event day
Husaria also supports weekly venue maintenance:
This has a practical benefit: the event-day team already knows the building, where everything is and how to maintain it. Less explanation and fewer mistakes than a team arriving for the first time that morning. Discover our other collaborators on the Konfero partners page.
An organiser’s operations checklist
- Guest lists ready for several check-in desks, with a staff member handling exceptions.
- Registration positioned away from entrances and walkways.
- Parking stewards for arrivals and departures.
- Separate space for coaches and deliveries.
- A daytime cleaning schedule covering foyer, toilets, café and entrances.
- One operations lead, with their phone number on the team’s contact sheet.
- A weather plan covering changes at the car park and entrance if it rains.
